Reply to customer inquiries with AI: free prompt and examples
Copy a free customer-reply prompt or download the TXT. Three fictional examples show how to ask for missing details, draft a reply and stop when dates conflict. Use your own AI tool and review the result before sending.

Copy the customer-reply prompt
Copy this template into your own AI tool and replace the three input placeholders. Start with one of the fictional cases below. This page does not run an AI model or send a message.
Three worked examples: reply, clarify or stop
All three cases and suggested outputs are fictional editorial examples, not customer results or measured AI test runs.
Office cleaning: price requested, scope still open
Customer inquiry: „We need our 120 m² office cleaned twice a week, on Tuesdays and Thursdays after 6 pm. What would it cost?“
Approved facts / open issues: Location, surface types, cleaning tasks and availability are not confirmed. No approved pricing rule.
Suggested output for review:Thank you for asking about cleaning your 120-m² office. To assess the scope and a price, could you tell me where the office is, which rooms and floor types are included, and which tasks you need on each visit? We would also need to confirm whether the requested times are available before making an offer.
What to check: The draft does not ask again for the area or preferred times. It does not invent a price or confirm a schedule.
Website inquiry: a call slot is not a project start
Customer inquiry: „Our website is slow and looks poor on a phone. What would a new one cost, and could you start soon?“
Approved facts / open issues: The initial call is free. Two call slots are available next week, but no project start is approved. Pricing depends on pages, content and functions.
Suggested output for review:Thank you for your message. We can discuss what the new site needs to do in a free initial call. How many pages are planned, can existing text and images be reused, and do you need functions such as appointment booking? Two call slots are available next week. A project start and price can only be confirmed once the scope is clear.
What to check: Only the approved initial call is offered. Available call slots are not presented as project capacity.
Conflicting dates: clarify internally first
Customer inquiry: „We discussed Tuesday. The proposal says Thursday. Please confirm Tuesday as a firm date.“
Approved facts / open issues: The records contain both dates. There is no verified confirmation.
Suggested output for review:No send-ready draft. Conflict: the customer says Tuesday, while the proposal says Thursday. The responsible person needs to check and approve the agreed date before a confirmation is drafted.
What to check: Do not choose the more plausible date. A stop with a specific unresolved decision is the useful output here.
Separate facts from open questions
Give the model only the inquiry and approved business information. Ask it to extract the request, list missing details and draft a response that does not invent availability, prices or commitments.
- Customer request
- Confirmed facts
- Missing information
- Allowed tone
- Forbidden promises
Review before sending
Check names, dates, prices, scope and the requested next step. The draft should remain a draft until a responsible person approves it.
